2026 Form 1040-ES

Employer and Business Forms Used in 2026

Form 941 — Employer’s Quarterly Federal Tax Return

Employers generally use Form 941 to report federal income tax withheld and employer and employee shares of Social Security and Medicare taxes. It is filed quarterly unless the employer falls under an exception or has been instructed to use another return.

Form 941-X

Use the version of Form 941-X and its instructions applicable to correcting a previously filed Form 941. Do not use Form 843 as a general substitute for amending employment tax returns.

Form 940

Form 940 reports annual Federal Unemployment Tax Act tax. FUTA is separate from the quarterly income-tax-withholding and FICA reporting on Form 941.

Forms W-2 and W-3

Employers furnish Form W-2 to employees and file wage information with the Social Security Administration. Form W-3 transmits paper Forms W-2. Scannable Copy A should not be printed from an ordinary online PDF when the IRS or SSA instructions prohibit that use.

Forms 1099 and Form 1096

The 1099 series reports different payment types, such as nonemployee compensation, interest, dividends, and retirement distributions. Form 1096 is generally a paper transmittal and is not used to transmit returns filed electronically.

The IRS publishes some draft tax products for advance review. A draft marked “DO NOT FILE” is not valid for filing. Before downloading, check whether the product appears in the current forms directory or the separate draft-forms directory.

  1. Use IRS.gov and verify that the browser address ends in irs.gov.
  2. Confirm the form number, revision date, and tax year printed on the PDF.
  3. Check for post-release corrections before relying on mailing addresses or calculations.
  4. Read the filing instructions; not every printable copy is acceptable for machine-scanned filing.
  5. Do not enter Social Security numbers, bank details, or other sensitive information into an untrusted third-party form tool.

Should I use a 2025 or 2026 Form 1040 when filing in 2026?

If you are filing the regular return for income earned from January through December 2025, use the 2025 Form 1040 even though you file it in 2026.
